Refund Policy

1. General Refund Principles

At Adammsp Language Courses, we are committed to providing high-quality education and fair refund policies. Our refund policy is designed to protect both students and the school while complying with Ontario consumer protection laws and regulations.

All refund requests must be submitted in writing to our Student Services department. Verbal requests will not be processed. Processing time for approved refunds is typically 10-15 business days.

2. Cooling-Off Period

In accordance with Ontario regulations, students have a cooling-off period during which they may cancel their enrollment and receive a full refund.

2.1 Full Refund Period

Students may withdraw and receive a 100% refund if:

  • Withdrawal occurs within 5 business days of signing the enrollment agreement, OR
  • Withdrawal occurs before the first day of classes, whichever is later
  • Written notice is provided to the school

3. Partial Refund Schedule

After the cooling-off period, refunds are calculated based on the portion of the course completed:

30% - 50% of course completed 25% of tuition $150

4. Course Cancellation by School

4.1 Full Refund Situations

Students will receive a 100% refund if Adammsp Language Courses cancels a course due to:

  • Insufficient enrollment (minimum 4 students required)
  • Instructor unavailability or emergency
  • Facility issues or emergency closures
  • Government-mandated shutdowns
  • Any other reason beyond the student's control

4.2 Alternative Options

Instead of a refund, students may choose to:

  • Transfer to the next available session of the same course
  • Transfer to a different course of equal or lesser value
  • Receive a credit valid for up to 12 months

5. Non-Refundable Items

The following items are non-refundable under all circumstances:

  • Application and registration fees ($50)
  • Textbooks and learning materials (once distributed)
  • Assessment and placement test fees ($25)
  • Certificate processing fees ($30)
  • Technology fees for online platforms
  • Third-party service fees (exam registrations, etc.)

6. Medical and Emergency Withdrawals

6.1 Medical Circumstances

Students who must withdraw due to serious medical conditions may be eligible for special consideration:

  • Medical documentation from a licensed physician required
  • Must demonstrate inability to continue studies
  • May be eligible for pro-rated refund regardless of completion percentage
  • Alternative: Medical leave of absence with course credit

6.2 Family Emergency

In cases of documented family emergencies (death, serious illness, etc.), students may receive:

  • Compassionate consideration for refund
  • Extended timeline for course completion
  • Transfer to future sessions without penalty

7. Visa and Immigration Issues

7.1 Visa Denial

Students whose study permits or visas are denied may receive:

  • Full refund with proof of visa denial
  • Must provide official government documentation
  • Administrative fee of $100 may apply
  • Request must be made within 30 days of denial notice

7.2 Immigration Status Changes

Students whose immigration status prevents course completion may be eligible for partial refunds based on individual circumstances and documentation provided.

8. Transfer Policy

8.1 Course Transfers

Students may transfer between courses subject to:

  • Availability in desired course
  • Meeting prerequisite requirements
  • Transfer fee of $75
  • Price difference adjustment if applicable
  • Maximum of two transfers per enrollment period

8.2 Schedule Changes

Students may change class schedules within the same course at no charge if:

  • Space is available in desired schedule
  • Request made within first week of classes
  • Same course level and content

9. Refund Process

9.1 How to Request a Refund

  1. Complete the official Withdrawal Request Form
  2. Submit form with required documentation to Student Services
  3. Attend exit interview if required
  4. Return all school materials and textbooks
  5. Settle any outstanding balances

9.2 Processing Timeline

  • Application review: 3-5 business days
  • Approval notification: 1-2 business days
  • Refund processing: 10-15 business days
  • Total timeline: Approximately 3-4 weeks

9.3 Refund Methods

Refunds will be issued using the original payment method:

  • Credit card refunds: 5-10 business days
  • Bank transfer refunds: 7-15 business days
  • Cheque refunds: Available upon request

10. Disciplinary Dismissal

Students dismissed for disciplinary reasons are not eligible for refunds. This includes but is not limited to:

  • Academic dishonesty or cheating
  • Harassment or inappropriate behavior
  • Violation of school policies
  • Disruption of classes or school operations
  • Failure to meet attendance requirements

11. Appeals Process

11.1 Refund Denial Appeals

Students who disagree with refund decisions may appeal by:

  1. Submitting written appeal within 30 days
  2. Providing additional documentation
  3. Meeting with Academic Director
  4. Final decision within 15 business days

11.2 External Resolution

If internal appeals are unsuccessful, students may contact:

  • Private Career Colleges Branch, Ontario Ministry of Training
  • Consumer Protection Ontario
  • Better Business Bureau

12. Special Circumstances

12.1 Natural Disasters

In cases of natural disasters, pandemics, or other extraordinary circumstances that prevent course completion, the school will work with students to provide fair solutions including refunds, course credits, or transfers.

12.2 Technology Issues

For online courses, significant technical issues that prevent course completion may result in partial refunds or course credits at the school's discretion.
